How CrewSchedule handles your schedule and the copies you choose to share.

Updated 17 October 2026

This page describes the current CrewSchedule beta. Some features are still in development.

About the app

CrewSchedule helps you import, review and edit your work schedule. You can use it locally without a CrewSchedule account. Optional Apple accounts are managed by Apple. The app operates no separate schedule server, Firebase, advertising, tracking or central usage analytics.

It does not request access to your mailbox, contacts or live GPS location. Imported text can still include locations and personal information.

Information stored

The app stores schedule text, dates, times, activity and location codes, details, notes, original versions, import history and manual changes. Text may include names, assignments or absence information. Import only information you are permitted to use.

Statistics are calculated from saved schedules. Annual starting values, Calendar settings, notification choices and connection information are also stored. Editing a day does not necessarily erase its import history. Optional debug tools can retain separate samples and parsing results. Local migration copies may remain; these files are not automatically sent to the developer.

iCloud and connected accounts

When enabled, Apple CloudKit transfers schedule history, original text, changes, starting values and relevant settings between your devices. Data is stored in your Apple account’s private CloudKit database.

Explicitly connecting another Apple account shares schedule history, original text and starting values with that account. Both accounts can contribute changes; Calendar selections remain separate. Only connect an account you intend to grant this access.

Turning off sync does not erase saved data. Disconnecting accounts keeps editable copies on both. Copies already received or exported cannot be recalled. Apple provides iCloud under its own terms and privacy practices. Private CloudKit records are not available for the developer to browse in CloudKit Console. The app creates no public schedule database.

Calendar

With your permission, the app reads and updates its events in your selected calendars and presents relevant external changes for review. Events may include duty times, activities, location codes and notes. Your calendar provider stores and may sync these separately.

Turning off export, disconnecting Calendar or removing the app does not automatically remove existing events. The recommended linked setup publishes from the selected private phone, with export off on the work iPad.

Watch, widgets and notifications

Apple Watch keeps its own copy and can optionally sync directly through iCloud. Paired devices can also transfer schedule changes and queued handoffs through WatchConnectivity independently of the iCloud switch.

Widgets, complications and notifications may expose schedule information to people who can see your screen or watch face, depending on system settings. Reminders are not used for tracking.

Email automation and work devices

Optional email automation is configured in Apple Mail and Shortcuts and passes schedule text to the app. CrewSchedule does not directly read your mailbox. Enable import automation on one device for a synced schedule.

On work devices, an administrator may supply managed app configuration suggesting the work-device setup. It does not identify your Apple account or silently enable sharing or Calendar access. Organization policies may affect installation and iCloud.

Information you choose to share

Translation suggestions and activity-code explanations are stored locally. Sharing occurs only when you choose a system Share action and destination. Exported samples may contain the full original schedule; review them before sharing.

The developer receives information you send to support, such as your message, reply address and attachments. Apple may also supply beta feedback, crash information or distribution diagnostics under its services and your settings. The app has no separate automatic diagnostic-upload service.

Retention and deletion

Originals and history are kept for comparison and sync; they are not automatically erased when a later schedule is imported. Backups, Calendar events, exported files, Watch and previously connected accounts have separate lifecycles.

In Settings, you can turn off iCloud, manage account connections, reminders and Calendar integration. These controls do not erase previously saved copies. Offloading keeps local data. Removing the app does not remove its iCloud data or copies on other devices.

The current beta does not yet include a complete in-app erasure workflow. Instructions will be updated once local and synced erasure are implemented and verified. Calendar events and exported files require separate removal. Already-disconnected accounts’ private copies cannot be remotely erased by the other account. Contact ola@omgmedia.se for guidance; the developer cannot access or erase your private CloudKit database.
